Purpose
Public Records Commission Hearing
Meeting was called to order at 6:15 PM
Approve Certificate of Records Disposal (Form RC-3) for submission to Ohio Historical Society and Auditor of State.
Minutes
Form RC-2 for Galion City School District that was prepared February 18, 2016, voted and accepted by the Galion Board of Education on February 18, 2016, accepted by the Ohio Historical Society on July 21, 2016, and approved by the Ohio Auditor of State on August 9, 2016, was presented and reviewed by the Records Commission.
A draft of Form RC-3, Certificate of Records Disposal, Part 1 and Part 2 was presented and discussed with the Records Commission. Part 2 of Form RC-3 listed approximately 700,000 pages of student "cum" folders that have been electronically scanned and are currently being stored in an offsite warehouse facility at an approximate cost to the District of $250 per calendar quarter. The destruction of these paper records was discussed. At the present time the District will NOT destroy these records and continue to store the records offsite and pay the quarterly fee.
In the future the District will review contracts, redundancies and safekeeping guidelines for these records and make a determination if the paper records should be destroyed at a future date to be determoned.
